VenueKind Terms of Service

Version: 13 September 2026

These terms explain how businesses and their authorised staff may use VenueKind. Please keep a copy for your records. Questions? Email support@venuekind.com.

1. Who provides the service

VenueKind is operated by VenueKind Ltd, 4 Manor View Springcroft, Longfield, Kent, DA3 8BA, United Kingdom. These terms apply to your use of our website, Cloud dashboard and Local software, together with the product, price and billing details you accept when subscribing. Any separate agreement we both sign takes precedence where it expressly changes these terms.

VenueKind subscriptions are for business use. You must have authority to act for the organisation when creating an account, subscribing or connecting its services. Staff use the service on behalf of that organisation and within the permissions it gives them.

2. Accounts and access

Provide accurate account and billing information, keep it up to date, and protect your sign-in details. Use individual staff accounts and appropriate permissions. Tell us promptly if you suspect unauthorised access. You are responsible for activity you authorise through your account; this does not remove our responsibility for our own security obligations.

Access depends on the products and permissions enabled for your organisation. A preview or development feature may change and should not be relied on as a production service.

3. Plans, trials and payments

Prices, billing periods, included allowances and any usage charges are displayed before you subscribe. Applicable taxes and additional charges are shown at checkout. Payment processing and other external services may have separate fees.

Where offered, a paid product starts with a seven-day free trial and requires payment details. Unless you cancel before the trial ends, the paid subscription starts automatically at the price and billing frequency accepted at checkout. We send a reminder to your account email the day before expiry. You can check the expiry date and cancel through Plans in your account; contact support if you cannot access it.

Paid subscriptions renew automatically until cancelled. Cancellation stops future renewals and normally leaves access available until the end of the current trial or paid period. Usage charges already incurred remain payable. Your confirmation and Plans page show the effective cancellation date. Echo is free and does not automatically become a paid subscription.

Changes to staff numbers, usage or plan can affect charges where your selected plan provides for this. Review the displayed billing details before confirming changes. If you believe a charge is wrong, contact us so we can investigate. Nothing in these terms excludes a refund or remedy required by law.

4. Your venue and its customers

Your venue remains responsible for its experiences, fulfilment, customer communications, booking conditions, refunds, taxes and the information it supplies. A guest booking is with the venue identified during checkout, not with VenueKind as the experience operator. Your customer terms must be clear and lawful.

You are responsible for obtaining the permissions and providing the notices needed for waivers, staff records, recordings, marketing and public sharing. Do not use VenueKind to collect information you do not need or are not entitled to process.

5. Content and information

You retain your rights in content you provide. You grant us permission to host, process, copy and transmit it only as needed to provide the functions you request, support and secure the service, and comply with law. This includes delivery to connected services when you authorise it. We do not acquire ownership of your content.

You must have the rights needed for uploaded images, videos, music, training material and other content. Do not upload unlawful material, infringe another person's rights, impersonate others or publish private information without an appropriate basis.

Our privacy notice explains how we handle personal information and how to request access or deletion. The venue's privacy notice also applies to its customer and staff records. These terms do not replace any data processing agreement required for your use of the service.

6. Signal and connected platforms

Only connect social accounts and other services you are authorised to manage. You choose which accounts to authorise and which content to publish or schedule. Review the audience, content, timing and selected accounts before confirming. Disconnecting a service stops future access where supported; it does not automatically remove material already published there.

Connected platforms apply their own terms, permissions, review processes, limits and availability. They may reject content, revoke access or change their APIs. We cannot guarantee that every platform or feature will always be available. Profile URLs and public statistics do not by themselves authorise account access.

Public review and competitor information may be incomplete or delayed. Respect the source platform's rules and the rights of reviewers and creators. Do not use the service to evade access restrictions or send unsolicited or misleading communications.

7. AI assistance and automation

AI suggestions may be inaccurate or unsuitable. Check facts, rights, tone and suitability before using generated content or relying on recommendations. AI output is not legal, employment, financial or safety advice.

Configure automation permissions and rules carefully, and supervise actions that affect customers, staff or physical equipment. You remain responsible for decisions you authorise. No promise is made that using analytics or AI will produce a particular commercial result.

8. Local software and hardware

You are responsible for suitable venue power, networking, equipment, backups and safe installation. Keep supported software and devices updated and restrict access to authorised staff. Test show logic and hardware changes before use with guests.

VenueKind must not be used as the sole control for emergency exits, life-safety systems or other functions where failure could cause injury. Local connectivity and third-party hardware can affect operation; maintain appropriate independent safety measures.

9. Acceptable use and service protection

Do not attempt unauthorised access, interfere with other organisations, distribute malware, defeat security controls or use the service unlawfully. Contact us to arrange security testing rather than testing other customers' accounts.

We may restrict access where reasonably necessary to address a security threat, unlawful use, a material breach or overdue payment. Where safe and lawful, we will explain the reason and give you an opportunity to resolve it. Restrictions will be proportionate to the issue.

10. Availability, ending service and changes

We aim to provide the service with reasonable care and skill. Interruptions, maintenance and third-party outages can occur; uninterrupted or error-free operation is not guaranteed. Tell us about faults through support so we can investigate.

Before ending your account, export the information you need and contact support about data return or deletion. Cancellation does not mean all records are immediately deleted; retention and deletion are described in our privacy notice and applicable agreements.

We will give reasonable advance notice of material changes to these terms or subscription prices, except where an urgent legal or security change is necessary. Price changes apply prospectively, not to a paid period already purchased. You may cancel before an affected renewal.

11. Responsibility and disputes

Each party is responsible for its own obligations and breaches under applicable law. We do not exclude liability for fraud, death or personal injury caused by negligence, or anything else that cannot lawfully be excluded. Nothing in these terms removes mandatory statutory rights.

Please contact support@venuekind.com first about a complaint, including enough detail for us to investigate. These business terms are governed by the laws of England and Wales, and disputes may be brought in its courts, subject to any mandatory rights that apply in your jurisdiction.
