Your privacy at VenueKind

Who we are

VenueKind Ltd operates VenueKind. Our business contact address is 4 Manor View Springcroft, Longfield, Kent, DA3 8BA, United Kingdom. Contact support@venuekind.com about privacy or your information.

We control information used to administer VenueKind accounts, support and our business. Venues determine how guest waivers, participant details, photos and reels are used for their experiences. We provide the platform that processes those records for them. A venue’s own privacy notice also applies.

Information the platform handles

Account information includes your name, email, organisation, staff permissions, venue details, sign-in and security records, support messages and subscription records. Google sign-in supplies your account identifier, name, email and verification information. It does not give VenueKind your Google password or access to your Gmail inbox.

Venues and booking organisers may enter guest names and emails. Guests can submit waiver responses, signatures, signing dates, consent choices and names of minors represented by an adult. A group may also contain game results, completion times, team photos and reels. Media landing pages record visits, downloads and sharing actions so the venue can understand use of its media.

Why information is used

We use account and billing details to provide the requested service and manage our contract with you. We use staff contact details, security logs and support records for our legitimate interests in operating a reliable service, preventing misuse and resolving problems. We use records where necessary to meet legal obligations. Optional marketing uses consent where required; you can withdraw it by contacting the sender.

Venues decide the purposes and lawful basis for their guest records, including any sensitive answers requested in their waivers. Ask the venue about its requirements, optional media permissions and marketing choices. Essential account details are needed to provide an account; optional guest publicity is separate from using VenueKind itself.

Cloud media and venue recordings

Selected team photos and completed reels can be uploaded to VenueKind cloud storage for delivery. Raw camera recordings remain on the venue’s Local server. Authorised venue staff can access their organisation’s records. VenueKind support may access records when assisting with setup or resolving a support issue.

Guest delivery links are private links intended for their recipients. Anyone you forward a link to may be able to view that media. Sharing to a social service sends information to that service under its own privacy terms.

Service providers

Cloudflare provides hosting, database, storage and network services. Resend delivers service emails. Google provides optional sign-in, and Stripe processes payments when billing is enabled. Payment-card details are entered with Stripe; VenueKind stores billing references and subscription status.

The application database and media buckets are configured in the EU. This does not mean all processing stays there: network, email, identity, payment and support providers may process information internationally. Contact us for details of the arrangements and applicable transfer safeguards for your service.

How long information is kept

Account records are kept while needed to provide the account, resolve support matters, meet legal requirements or address disputes. Retention depends on the record’s purpose and those requirements. Free organisations become eligible for automatic deletion after six months without staff sign-in or product use; background receiver check-ins do not count as activity.

Guest records and media follow the venue’s instructions and retention requirements. Expiry of a delivery link does not itself mean the underlying record has been deleted. Contact your venue about deletion of waivers, recordings or media, including copies on its Local server.

Cookies and security

Sign-in cookies and browser storage maintain your session, security checks and interface preferences. Google and Stripe use their own services during sign-in and payment. Keep staff access and shared devices secure, and sign out when finished.

Your choices and rights

You may request access, correction, deletion, restriction or a portable copy of your information, subject to applicable conditions. You may object to processing based on legitimate interests and to direct marketing. You can withdraw consent without affecting earlier lawful use.

Email support@venuekind.com. For venue guest records, contact the venue first; we can help direct your request. We may need to verify your identity. You can also complain to the Information Commissioner’s Office.
